A helpful guide to ensure you are prepared for your shoot.


Where is the studio located?

My studio is based in Sutton in Ashfield, very close to the A38 and around 2 miles from Junction 28 of the M1.

I also take enquiries for outdoor on location shoots – please message me for more information


Where should I park?

Upon receipt of your deposit you will receive an email from me which will provide you with the address of my studio in Sutton-in-Ashfield.

There is free on street parking directly outside my studio and there is always plenty of space.


What are your opening hours?

My studio is open Monday to Friday 8.30am until 3pm

and

occasional weekday evenings between 4pm and 7pm.

You can contact me at any time of day or night (I know our schedules do not always match) Please be patient waiting for a reply but if you have not heard back from me within 48 hours please send me a little reminder.


What happens first?

If you're interested in me being your photographer, please send me an email or a message on social media (@rebeccawaterfield.photography) During this conversation we will talk about what I offer and how we can shape that to fit your specific needs. We will go over my package offers, pricing, and answer any questions you may have!


I feel awkward

Not everyone likes having their picture taken. Try not to worry about it too much or you will make yourself more nervous. Just remember that I am not judging, I will do all I can to make you feel comfortable to help you get the most natural, relaxed photos. 


How long will it last?

Sessions can be as short as 15 minutes or be up to 3 hours depending on what it is you would like me to capture. Newborn portraits take longer because we are working by baby’s schedule, whereas a prom photo could take as little as 15 minutes. Take a look at my packages for timings and price guidelines. Remember I am flexible and can adjust my packages to suit your needs.


What should I wear?

Wear something you feel comfortable in so you can relax and focus on your shoot. If you have outfit changes then wear something easy to take off and get changed back into. Try to avoid patterns or bold colours as these will date over time. I can provide a private area for changing. I am running late for my session or I need to rearrange, what should I do? 

Things don’t always go to plan, I have two children so I totally understand! However, If you’re running late for your session please let me know as soon as you possibly can. I sometimes have session’s booked in one after another so there may not be time to extend your slot. Wherever possible I will try to add extra time on to the end of your session to make up for any time we lost. If I can’t do this I will condense your session to try to get the most out of your booked time in the studio. I cannot be held responsible for loss of time due to lateness.

If you are unable to attend your photoshoot for any reason, please let me know as soon as you can and I will do my best to rearrange to another convenient time. If you fail to turn up and do not give me notice I will not offer a refund.

My photo shoot has been cancelled, what happens now? 

If you need to cancel or postpone a photo shoot due to reasons beyond your control I will do my very best to rearrange for a future date convenient for us both.

If I need to cancel or postpone a photo shoot due to reasons beyond my control I will let you know as soon as I myself know. I will offer you an alternative date or a credit note to put towards a future photo shoot.

Please note that deposits are non-refundable.


What happens after the shoot?

I sometimes upload a sneak peek photo for you to view and share with friends and family within 48 hours of the shoot. You will receive an online gallery with the allotted images from your photoshoot within 3 weeks of the shoot and and from there you can choose which images to show off on your walls at home! At busy times this timescale may change.


What will I receive?

Unless otherwise stated the price of each photo session includes 3 digital images. Within 3 weeks you will receive an email invitation to your private online gallery where you can view your images. From there, you can choose which 3 images you would like to keep and you can purchase more if you would like to. Extra digital images are charged at £10 per image. I offer bundle packages too, this often makes it cheaper to purchase more photos if you wish. Photos will be watermarked and will not be made available for download until payment has been received.


Editing

All images are edited using my own styling and sent directly to you usually within 3 weeks as “1st edits”. Once you have chosen which images you would like to purchase I will tweak the image further*, if required, and send you the “Final Edits” to download.

*Please note that occasionally a small amount of retouching (sometimes called photoshopping) is included in the price of each photo shoot. Small details such as bumps or scratches on faces can be edited for you but more complex or elaborate editing will incur an extra charge or may be refused.


What happens once you have taken the photos?

During our photo session, you will notice me taking several images of the same pose. The reason for this so that I can check for correct exposure and get the best angles. 

From those images, I carefully go through each one choosing the best from each pose and narrowing it down further to make absolutely sure you have the best photo possible. I then edit these photos and send them to you.

Images are edited at my discretion, and delivered shots may not include all the images you remember having been shot. I will pick and edit only the images I deem as professional in quality and within my artistic standards. RAW and unedited (digital negatives) files will not be released. Files that will be released will be in JPEG format.


How long do you keep the photos? 

I keep the photos for a minimum of 1 week after your photo shoot and up to 3 months in a fully secure and password protected computer. Often images are deleted on a monthly basis so please make sure you download your photo’s on to your own device as soon as you receive them. You are provided with a download PIN number on your final edits email.

Please remember to download your images straight away.

If I do not hear from you within 12 weeks after sending the previews I will contact you to give you notice of deletion. If I have not heard from you within 4 weeks of my contact I will unfortunately have to delete your gallery and the images will no longer be able to be resent/edited/retrieved.

I will often use your photos on social media platforms and my website to keep other customers up to date, promote my business and for general advertising. If you would prefer me not to do this please let me know before the session so I am aware.
